Transparent estimate

Calculate meeting cost per outcome.

Estimate the labour cost of one meeting, its annual recurrence, and the cost per documented decision or confirmed action. Inputs stay in your browser unless you ask for the full breakdown by email; then they are sent to Groundnote only to work out and send that email.

How is meeting cost calculated?

Meeting cost is estimated by multiplying meeting duration by the combined hourly cost of participants. Cost per documented outcome divides that estimate by recorded decisions and confirmed actions. It is a planning estimate, not proof of waste or savings, and should be interpreted alongside meeting purpose, quality, and downstream results.

Formula and assumptions

Meeting cost = attendees × meeting duration in hours × estimated hourly cost, plus total preparation and follow-up team-hours × estimated hourly cost.

Annual recurring cost = meeting cost × meetings per year. Cost per decision or action divides one meeting's estimated cost by the number of documented decisions or confirmed actions.

This is a planning estimate, not measured waste, productivity loss, accounting advice, or a savings promise. Hourly cost may exclude employment overhead, opportunity cost, technology, travel, tax, and differences between participant salaries.

Meeting cost inputs

Use an average loaded hourly cost if available. Preparation and follow-up are total team-minutes across everyone involved, not minutes per attendee.

Choose whether this includes salary overhead and apply that choice consistently.
